1. Scope and agreement
These terms form the agreement between you and ShareMySiteData ("we", "us" or "our") when you browse the website, create an account, search for information, unlock a commercial survey record or generate a report. If you use the service for an organisation, you confirm that you have authority to accept these terms for it.
Paid access is live during Public Beta. Functions and source connections may change as the service is improved, but changes do not remove rights you already have under law or a completed order.
2. Accounts and security
You must provide accurate account information, keep sign-in credentials secure and tell us promptly if you suspect unauthorised use. You are responsible for activity carried out through your account unless the law says otherwise. Do not share an account in a way that bypasses the access shown for your plan.
You must be at least 18 and able to enter into a binding contract. Business contact details must relate to people you are entitled to identify.
3. Full Site Intelligence Report
The Full Site Intelligence Report is a paid digital output for eligible paid accounts. It combines a searched location or boundary, the project-profile questionnaire, available public-source evidence, the ShareMySiteData commercial survey index and generated interpretation. The report is intended to help a competent project team decide what to investigate, verify or commission next.
The report records the declared project profile, evidence returned at the time of generation, source health, assumptions, contradictions and unresolved gaps. A nearby record is not automatically an on-site constraint, and an empty result is not proof that no relevant record, feature or risk exists.
Report eligibility, any allowance and any report-specific charge are the details displayed in your account or at checkout immediately before you order or generate it. We do not create an unstated report price or quota through these terms.
4. Project-profile questionnaire and generation
Before a full report is generated, we ask questions about the decision you are making, proposed work, your role and commissioner, timing, value, workforce, duration, procurement, site patterns, likely features, available information, consent route, local geography, priorities and social-value basis. Your answers drive the Insights model: they affect the modules selected, the proportionality of the analysis, the action prompts and the contradictions presented for confirmation.
- Answer completely and accurately to the best of your knowledge. Do not guess merely to obtain a different result.
- Review any validation warning or contradiction. The service may require confirmation before generation rather than silently preferring an answer or a public record.
- Do not enter unnecessary personal data, special-category data, confidential security information or third-party material you are not entitled to use.
- If the site, boundary, purpose or project profile changes, treat the earlier report as a historic snapshot and generate or commission an updated assessment where needed.
AI-assisted processing may help interpret and draft the output, but it does not replace the linked source evidence, the stated rules or professional judgement.
5. Commercial survey index
Commercial records indicate that a survey or dataset may exist near a searched location. Records may be supplier-contributed, where they are supplied or authorised by the relevant data holder, or publicly evidenced, where ShareMySiteData independently indexes limited factual metadata from defensible public evidence that a survey or investigation exists. A publicly evidenced record does not imply that the named organisation uploaded, approved, endorsed or partnered with ShareMySiteData.
An unlock reveals the details described at purchase so that you can approach the relevant record holder or organisation. Unless expressly stated, an unlock does not buy the underlying report, copyright, reliance, a licence to use it or any professional duty from its owner. Those matters remain for you and the relevant rights holder to agree directly.
Record holders are responsible for information they submit. For publicly evidenced records, ShareMySiteData is responsible for the accuracy and provenance of the factual index entry. We may validate, correct, suspend or remove records that appear inaccurate, unlawful, duplicated, insufficiently evidenced or misleading.
6. Paid access, plans and billing
Prices, taxes, billing periods, renewal terms, report eligibility and allowances shown at checkout or in your account form part of your order. The current public plan descriptions also state:
- Single Record unlocks are available for £2.99 per record.
- Professional is £14.99 per month.
- Professional Plus is £29.99 per month.
- Elite is £100 per month and includes unlimited commercial-record unlocks.
Subscription billing and cancellation details displayed at checkout apply to that subscription. Cancelling normally stops a future renewal; it does not erase an amount already due or remove access already used. Payment processing may be provided by Stripe under its own privacy and service terms.
7. Digital delivery and availability
A report is delivered digitally through the report page, account area or download made available after generation completes. The generation timestamp and source-health information identify the relevant snapshot. Keep a copy if it is needed for your project record.
Generation depends on third-party data, mapping, hosting and processing services. A source may be delayed, unavailable, incomplete or outside its normal coverage. We aim to keep a failed source or unresolved question visible rather than invent an answer. We may retry a source, ask you to amend the profile or deliver a report that clearly records the gap.
We do not promise uninterrupted availability or that every source, map, image, route or organisation will be returned for every location.
8. Permitted use and intellectual property
You may use a lawfully obtained report internally for the project and decision described in its project profile. You may share it with your professional team and client where they are told about these terms and the report limitations. You must preserve source, map, image and licence attributions.
You must not scrape or bulk-extract the service without permission, circumvent access controls, misrepresent generated content as a statutory or professional opinion, remove attribution, attempt to identify protected supplier details without an unlock, interfere with the service, or use it unlawfully. Underlying public data and third-party images remain subject to their own rights and licences; see Data attribution.
9. Important limits and your responsibility
Outputs are desktop screening and information only. They do not replace title or boundary checks, utility searches and safe-dig procedures, ground investigation, ecology or heritage assessment, flood-risk work, planning advice, transport assessment, measured survey, building-safety duties, CDM duties, procurement due diligence or other competent professional services.
You must check the exact site boundary, dates, linked source records, current law and project facts before relying on a finding. Routes, distances, local organisations, merchants, hospitals and map features are indicative and require current operational and suitability checks. You remain responsible for project decisions, designs, appointments, statutory compliance and safe systems of work.
10. Failed generation, allowances and refunds
If a report-specific charge is taken, or a report allowance is deducted, but no usable report is delivered solely because our platform failed, email help@sharemysitedata.com with the account, site and generation details. We will review the generation and payment records. Depending on the confirmed circumstances and the order terms, the appropriate remedy may be a retry, replacement report, restoration of an allowance or a refund. We will provide any refund or other remedy required by applicable law.
A report that is delivered with clearly disclosed third-party source gaps is not automatically a failed delivery: those gaps are part of the source-health record. This does not limit your statutory rights, including rights that apply to consumers and digital content. Nothing here replaces the cancellation or refund information shown at the relevant checkout.
11. Responsibility and liability
Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your statutory rights as a consumer.
Subject to that, we are not responsible for loss caused by treating screening information as professional or statutory advice, relying on an omitted or stale third-party record, failing to verify a declared answer, or using the service outside its stated purpose. If you use the service for business, we are not liable for indirect or consequential loss, loss of profit, revenue, opportunity, goodwill or anticipated saving to the extent permitted by law.
12. Suspending or ending access
You may stop using the service and may cancel a subscription using the route shown in your account or checkout records. We may restrict or suspend access where reasonably necessary for security, maintenance, legal compliance, non-payment or a material breach of these terms. Where practical, we will explain the reason and how to appeal or restore access.
Terms that by their nature continue after access ends—including payment obligations, licence limits, attribution, disclaimers and liability provisions—remain in effect.
13. Changes, governing law and contact
We may update these terms to reflect service, legal or security changes. The date at the top shows the latest update. If a material change affects an ongoing paid service, we will give reasonable notice through the site, account or email where required.
These terms and any non-contractual dispute are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, except that a consumer may also have rights to bring a claim in the part of the United Kingdom where they live.
